Golf Outing Registration Form
Registration, sponsorship and dinner in one submission. Per player details, foursome pricing that applies itself, capped hole sponsorships with sign text collected at purchase.
Overview
A charity golf outing is three events at once. It is a registration with a hard field limit, a sponsorship sale that produces most of the revenue, and a dinner with its own headcount. Most organizers run all three from a spreadsheet and spend the final week reconciling who is playing, who is eating and whose logo goes on which hole.
What this form does
It handles all three in one submission. Golfers are registered individually, with names, handicaps, shirt sizes and dietary requirements collected per player rather than one name standing in for a foursome. The foursome rate applies itself once four players are in the same order. Sponsorships are separately capped items, so eighteen holes means eighteen, and the hole sign text is captured at the moment of purchase instead of chased afterwards.
Dinner only guests are their own item, which keeps the tee sheet and the catering count from contaminating each other.
Who it is for
Associations and nonprofits running an annual fundraising outing, corporate teams hosting a client tournament, and chapter organizations where the golf day is the biggest revenue event of the year.
How to adapt it
Set the field cap to your actual format, cap each sponsorship at what exists, and write your weather policy into the terms. The rest is assembly.

How it's built in Regform
Setup checklist
- Cap golfers at your actual field size. A shotgun start on eighteen holes with foursomes is 72 players. Set that cap and the form stops selling the moment you are full, rather than leaving somebody to explain it to a member who has already paid.
- Let the foursome rate apply itself. A rule drops the per golfer price once four or more are registered together. That is better than selling a foursome as a single item, because the form still collects each player's name, handicap and dietary requirements individually.
- Cap every sponsorship at what exists. There are eighteen holes, one beverage cart contract and one dinner. Sponsorships are the profitable part of a charity outing and selling one twice is the fastest way to sour a relationship with a member firm.
- Collect the sign text at purchase. Hole sponsors need artwork, and chasing it afterwards is a fortnight of email. The form reveals a sign text field the moment a hole sponsorship is selected.
- Keep dinner only guests separate. Spouses, board members and award recipients often come for the dinner rather than the golf. A separate item priced accordingly keeps your catering count right and your tee sheet clean.
- Write the weather policy into the terms. Every outdoor event needs one, and the time to state whether entry fees are refundable for weather is before anybody pays, not on a rainy morning.
Before you publish
Register three golfers and then four, and confirm the per player rate drops at four. Buy a hole sponsorship and check the sign text question appears. Fill the field to its cap and confirm it closes. Then check the export gives you a tee sheet with names, handicaps and dietary requirements in one file.
Frequently asked questions
How does foursome pricing work?
A rule watches the golfer count and drops the per player rate once four or more are registered in the same order. That works better than selling a foursome as a single line item, because the form still collects each player's name, handicap, shirt size and dietary requirements individually rather than leaving you with one name and three blanks.
How do I collect details for every player?
Each player gets their own set of questions inside the golfer item, so registering four produces four complete records. That is what gives you a usable tee sheet and an accurate catering count, rather than a single registration with a note saying four players and their names to follow later.
How do I stop overselling the field?
Cap the golfer item at your field size. A shotgun start on eighteen holes with foursomes is seventy two players, so cap it there and the form stops selling when you are full. Overselling a golf field is unusually painful because there is no way to add capacity on the day.
How are sponsorships handled?
Each sponsorship is its own capped item, because there are eighteen holes, one beverage cart and one dinner. Sponsorships are where a charity outing actually makes money, and selling the same one twice is both an awkward conversation and a refund. Cap them at what genuinely exists.
When should I collect hole sign text?
Immediately, through a field that appears as soon as a hole sponsorship is selected. Hole signs need artwork and text, and chasing those afterwards is a fortnight of email with firms who have already paid and stopped thinking about your event. Asking at purchase costs nothing.
What about people who only come to the dinner?
As a separate item priced for dinner alone. Spouses, board members and award recipients frequently attend the dinner without playing, and mixing them into the golfer count breaks both your tee sheet and your catering numbers. Keeping them separate also lets you cap the dinner independently of the field.
What should the weather policy say?
Put it in the terms before anybody pays. Every outdoor event needs a stated position on what happens if play is cancelled, whether entry fees are refundable, and whether the dinner proceeds regardless. Deciding that on a rainy morning with seventy people waiting is considerably worse than deciding it now.
